Administrative Officer (f/m/d) for the GIZ Project “Participatory and Integrated Land Use Planning II” in Ethiopia

For more than 20 years, we have been commissioned with the implementation and pre- and post-supervision of development projects in Germany and abroad, their technical and conceptual support, the development and dissemination of new procedures and methods as well as consulting for other companies.
For the ongoing GIZ Project “Participatory and Integrated Land Use Planning II” in Ethiopia, we are currently looking for an administration officer. The administrative officer will ensure the correct administrative, logistical, and financial management of the project and will contribute to optimize the day-today functioning of the team. The administrative officer is responsible for supporting the entire PILUP II project through a variety of tasks related to organization, logistics and communication.

Administrative Officer (f/m/d)
(fixed monthly salary, based on an average of 18-19 working days/month)
Task description:
Accounting and financial management:
- Ensure the collection and filing of accounting documents and supporting documents (invoices, receipts, payment statements, list of participants, boarding passes, ticket stubs, etc.)
- Ensure all invoices are correctly encoded and registered into the bookkeeping system
- With the Team Leader’s supervision, compile and submit monthly cash requests to AMBERO headquarters
- Regularly update the budget monitoring
- Regular reporting to project managers at AMBERO headquarters
Administrative and secretarial management:
- Welcoming and orienting visitors
- Prepare, manage, and follow up correspondence (invitation letters, administrative letters, etc.)
- Ensure the administrative management of all project events (attendance sheets, evaluation sheets, etc.)
- Support experts in reporting of travel costs, collection, and systematization of receipts.
- Support procurement of goods and services according to GIZ procurement rules and procedures
Logistical and technical support to activities:
- Assist the team including support to the coordination of all operations led by the Team Leader, secretary services, communication, etc. and organization of project activities (preparation of workshops/trainings/events, preparation of missions, etc.)
- Contribute to the organization of workshops, trainings, and events
- Manage accommodation and per diem disbursement to participants’ for trainings and workshops
Your Qualifications:
- University degree
- Fluent in Amharic and English
- At least 3 years of professional experience including experience in development cooperation projects, working for companies, or other organisations in Ethiopia
- Experience in project financial management or project management is a strong asset
- Familiarity with Excel
- Detail-oriented, good communicator
Further Requirements:
- The administrative officer will be based in Addis Abeba
- The administrative officer will be expected to carry out most of the duties in the office located in Meganagna area
- Short missions to other regions may take place, based on security clearance provided by GIZ authorities and AMBERO
